5 signs your workshop has outgrown spreadsheets

Spreadsheets get most workshops off the ground - until they don't. Here are five signs it's time to move quote-to-dispatch onto one system.

Spreadsheets are where almost every workshop starts. They’re free, flexible, and everyone knows how to use them. But as orders grow, the cracks show. Here are five signs you’ve outgrown them.

1. Quotes take too long - and still have errors

If pricing a job means hunting across three files for material rates, hardware costs and last month’s labour, quotes go out slowly and inconsistently. By the time you’ve finished, the customer has called two competitors.

2. Nobody agrees on what’s in stock

The stock sheet says one thing, the storeroom says another, and purchasing finds out you’re short after the order hits the floor. When stock lives in a file that only updates when someone remembers, it’s always slightly wrong.

3. You can’t answer “where’s my order?”

A customer calls asking about their kitchen. You put them on hold, walk to the floor, and ask around. Stage-wise visibility shouldn’t require a walk.

4. Your files have files

5. Growth makes it worse, not better

The real tell: every new order adds work everywhere - re-keying the quote into an order, the order into a job card, the job into an invoice. Good systems make growth easier. Spreadsheets make it heavier.
